1.Who this policy covers
It covers you, as a Propio account holder, and the people whose information you record in the service — most often your tenants.
For your own account data we are the controller: we decide what to collect and why. For the information you enter about your tenants you are the controller and we are the processor: we hold and process it on your instructions, to run the service you asked for.
2.Information you give us
We store what you enter, which typically includes:
- Account details: your name, email address and, if you registered with a password, a securely hashed version of it. If you sign in with Google or GitHub, we receive your name, email address and profile picture from that provider.
- Preferences: interface language, main currency, date format, reminder settings and your signature image.
- Property and contract records: addresses, descriptions, photos, rent amounts, currencies, due days and contract dates.
- Tenant records: the name, email address, phone number, identification and notes you choose to enter.
- Financial records: payments, expenses, deposits, receipts and the statements generated from them.
- Files you upload: contracts, identification documents, invoices, receipts and property photos.
3.Information we collect automatically
Running a web service produces some technical data by necessity: your IP address, browser and device type, and timestamps of requests and errors. Our hosting and infrastructure providers log this to keep the service running and secure.
Propio does not use advertising cookies, third-party analytics trackers, or cross-site tracking of any kind.
4.How we use your information
We use it only to run the service you signed up for:
- To create and secure your account, and to sign you in.
- To store and show your properties, tenants, contracts, payments and documents.
- To generate receipts, statements and reports, and to email the receipts to the tenants you choose.
- To generate the reminders you have enabled about expiring contracts, upcoming rent and late payments, and — when the daily summary is switched on — to email them to you.
- To provide support when you contact us, and to diagnose faults.
- To meet legal obligations and to protect the service against abuse.
5.Service providers we rely on
Propio is built on third-party infrastructure. These providers process data strictly to deliver their part of the service, under their own security and privacy commitments:
- Vercel — application hosting and delivery.
- Supabase — the PostgreSQL database and the file storage that holds your uploads, hosted on Amazon Web Services in the United States.
- Resend — delivery of transactional email: verification messages, password resets, the receipts you send to tenants, and your daily reminder summary.
- Google and GitHub — only if you choose to sign in with them, and only to authenticate you.
- open.er-api.com — a public exchange-rate source. We request published rates only; no data about you or your portfolio is sent to it.
6.We do not sell your data
We do not sell, rent or trade your information, and we do not share it with advertisers or data brokers. We do not use your content or your tenants’ information to train machine-learning models.
The only circumstances in which we would disclose information to anyone else are: at your request, to the providers listed above so the service can function, or when a valid legal order requires it.
7.Your tenants’ information
You decide what to record about your tenants. We recommend entering only what you actually need to manage the tenancy.
We use that information solely to operate the features you use: showing it back to you, printing it on the receipts and statements you generate, and emailing the receipts to the address you recorded.
When Propio emails a tenant, the message identifies you as the landlord sending it. Our sending address does not accept replies, so a tenant who replies to it will not reach anyone — give your tenants a direct way to contact you.
If a tenant asks you to correct or delete their information, you can do it yourself in the app, or write to us and we will help.
9.How long we keep your information
We keep your information for as long as your account is open. Most records you delete inside the app are marked as deleted and hidden from your account rather than erased immediately, so that an accident can be undone and related history stays coherent. Payments and their receipts are an exception: deleting a payment removes it, and its receipt PDF, permanently.
If you ask us to delete your account, we remove your data from the live service and it then falls out of routine encrypted backups within their normal retention cycle.
10.Security
Data is transmitted over HTTPS and stored on managed infrastructure with encryption at rest. Passwords are stored only as salted hashes — we never see or store them in readable form.
Every record in the database is scoped to the account that owns it, and every query is filtered by that owner, so one account cannot read another’s data.
No system is perfectly secure. Use a strong, unique password, and tell us immediately if you suspect your account has been compromised.
11.Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, to object to certain processing, or to withdraw consent.
- Most of your information can be viewed, edited and deleted directly inside the app at any time.
- Receipts and statements can be downloaded as PDFs whenever you want.
- For anything else — a full export, or deletion of your whole account — write to us and we will respond within a reasonable time.
12.International transfers
Propio is used from Latin America but runs on infrastructure located in the United States. Using the service therefore involves transferring your information there, where privacy laws may differ from those in your country. We only work with providers that commit to appropriate safeguards for such transfers.
13.Children
Propio is a business tool and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a minor has given us personal information, write to us and we will delete it.
14.Changes to this policy
We may update this policy as the service changes or the law requires. The date at the top of this page always reflects the current version, and we will notify you of material changes by email or inside the app before they take effect.
